GDPR at Nature’s Way

As you may or may not be aware, a new law comes into force on 25th May 2018 to replace existing Data Protection Laws. The law is called General Data Protection Regulation – GDPR.  Nature’s Way is currently taking steps to ensure full compliance with this law as we did under the existing Data Protection Laws to ensure that information held regarding any of our clients is safeguarded and only ever used in a responsible manner.

We are currently conducting a review of all of the data that we hold and the way in which we hold it to ensure that all data is current and our storage systems are secure. The audit will include:
• The type of personal information held (both computer and paper records).
• Who provided the information or where it came from
• Do we have permission to use the information, for example, to send regular marketing messages?
• Who we share the information with.
For example, we will normally hold clients’ names, addresses, contact details, allergy tests, and any relevant medical notes etc. but we also hold staff details, including contact details, next of kin info and any relevant medical information which will also be covered by the new legislation.
Any information that we hold on children under the age of 16 is covered by additional legislation and consent must be obtained from parents or legal guardians.

At present, we assume that clients have given permission for us to contact them with advertising media and appointment reminders.  There will be statements posted in reception detailing how we intend to proceed with this in the future whilst remaining compliant.

We will also be ensuring that our systems will be able to supply an individual with full details of all data that we hold on them and, if necessary, be able to provide full evidence of complete deletion of an individual’s details should they request us to do so.

The new legislation will require not only that we change the way in which we hold and manage our data but it will also require that we can demonstrate that we are complying with the new laws.
